AIE Check-off
Good planning is the key to a successful artist residency or special program. Artist will meet with teachers to discuss needs and desired outcomes and to develop a schedule. The checklist is designed to help you proceed.
- Form a planning committee made up of administrators, teachers, parents, community members, etc.
- Designate an on-site coordinator to act as the contact person between the site, the artist and the AIE Program Manager.
- Determine what type of AIE service best fits your school goals. Consider the following: number of participating students, age levels, available facilities and equipment, ways to build upon prior AIE experiences, curriculum enhancement opportunities, incorporation of new skills and development of staff.
- If you are planning a residency, determine the length of the project based on number of classrooms scheduled to participate and the goals of the program. Artists may work with up to 4 classrooms per day.
- Complete the site application form and return it to the AIE Program Manager.
- The AIE Program Manager will contact you regarding the status of your request and confirm your choices of artist(s). A planning meeting with your artist is to be held at least three weeks before the residency. The AIE Program Manager is available to participate in the planning process.
- At the planning meeting, all the details of the project should be discussed regarding program objectives and expectations; curriculum development and/or enhancement, grade levels to participate, number of students in each participating group; schedule; school policies regarding field trips and assemblies; special equipment and supplies needed with estimated costs; space requirements; house and travel assistance (if applicable); specifics of the activities; volunteer or parent-helper assistants needed; details for special sessions such as assemblies; introductory workshops; teacher training; Family Arts Night, student performances or exhibits.
- Notify the AIE Program Manager with the schedule and specific information about your arts program at least two weeks prior to the starting date. The AIE contract for services must be signed and returned to the AIE Program Manager before the activity begins. All contracts, evaluation and artist payments are coordinated by the AIE Program Manager.
- Prepare your students for the artist’s visit. Tell them what to expect in terms of their participation, who the artists are, what the schedule and activities will be and what they can expect to learn. If possible, arrange to showcase the artist’s own professional work at the school. Contact the AIE Program Manager in you need help organizing this.
- Send out publicity regarding the art program to the media, parent and community organizations, etc. Please credit Umpqua Valley Arts Association’s Arts in Education program, the Oregon Arts Commission and the National Endowment for the Arts.
- Showcase the AIE program you have prepared at a school board, parent advisory committee or site council meeting. It could help in securing funding for future AIE programs.
- Assist the artist on the first day of the residency with arrangements and introductions. Have students wear nametags to help the artist become familiar with participants.
- Following the AIE event, please complete and return the program evaluation form. This valuable information helps maintain the quality of services provided.
- Talk with the artist to develop a plan for utilizing follow-up suggestions and materials. Bibliographies supply lists and sources; additional activity outlines and other suggestions and information the artist provides for the site can be made available to all staff.
- Share your enthusiasm for the AIE program you experienced. It would be helpful if you would write a post card to your state senator, representative and local arts organization representatives and tell them of your AIE art activity. Take the opportunity to thank your elected official for approving the funding the state legislature allocated to the Oregon Arts Commission helping to make this project possible.
If you are experiencing any difficulties or misunderstandings with the artist of the expectations of the AIE program, please call the AIE Program Manger at once. Problems, which are identified early, can be quickly addressed so the residency or workshop can be completed smoothly and successfully.
